How to setup faculty office hours using Microsoft Bookings

Microsoft Bookings is a scheduling tool and is part of the Microsoft Office 365 suite. Here are step by step instructions on how to setup faculty office hours.

1. Log into Office 365 at Click on the waffle icon at the top left-hand side and a menu will appear. Select Bookings. If you do not see Bookings listed, choose All Apps. If you do not see the Bookings app listed, please submit a TD ticket to request the Microsoft Bookings app .

2. At Home on the left side menu, select New or "Add a booking calendar" to create a new booking calendar.

3. A box will appear, "Tell us about your business". We recommend using unique names that are specific to a person or a department/office.

Business Name suggestions are Professor Thomas Office Hours; Mechanical Engineering Graduate Student Advising Hours; Financial Analytics Tutoring Schedule, etc. Type Colleges and Universities as the Business Type, and select Continue.


Now you can begin to setup services, or types of appointments that individuals can book.

1. Select Services on the navigation bar on the left side to add services. Examples of services are Office Hours, Student Tutoring, Major Advising, Career Advising, Test Review, etc.

2. Select Staff on the left-hand side to add/remove faculty or staff members who will be holding meetings.

3. Select Bookings Page in the navigation bar on the left side and setup your booking preferences.

    Booking page access control - Leave the Require an Office 365 account blank. Check the box to disable direct search indexing.

    Scheduling policy - Set increments for available time slots. Set minimum/maximum lead time for bookings.

    Email notifications - Set the options for email notifications for when an appointment is made

    Availability - Customize the days/times and date range for when appointments are available.

    Time Zone - Be sure to select Eastern Standard Time zone for appointments.

4. Select Save and Publish. You can now share the hyperlink with the Stevens Community.


Please note - students will be able to book appointments. When someone books an appointment, they will receive an email confirmation and the appointment will sync with your Office 365 calendar in Outlook.
