Scheduling & Joining Zoom Meetings

Schedule a Meeting  Students, Faculty, Staff  Zoom offers multiple methods to schedule a meeting: the Zoom desktop client, the mobile app, the Zoom Web Portal, or a plugin (Chrome, Outlook, Firefox).  

Zoom Desktop Client: 

  1. Click Schedule button on the Zoom App 

  1. Input details for the meeting and click Schedule  

  1. You can then copy the URL or Invitation or add the meeting to your calendar with available plugin 

Zoom Mobile App: 

  1. In the Zoom App, tap Schedule 

iOS: 

       2. Input details for the meeting and tap Done  

       3. Invite attendees and add the meeting to your calendar 

Android: 

  1. Input details for the meeting and add the meeting to your calendar 

  1. Tap Done  

  1. Invite attendees 

Web Portal: 

  1. Log into my.stevens.edu and click Zoom or log into stevens.zoom.us 

  1. Click Schedule a Meeting in the top navigation bar 

  1. Input details for the meeting and click Save 

  1. You can then copy the URL or Invitation or add the meeting to your calendar with available plug in 

Outlook Plugin: 

  • Integrate your Zoom account with O365 in Outlook using the Zoom Scheduler add-in. You will have the ability to easily add a Zoom meeting to new and existing calendar events.

In-Meeting Controls

Audio Students, Faculty, Staff  When starting/joining a meeting, you can join the audio by computer or phone.
  • Choose Join Audio by Computer to connect your computer's mic and speakers to the Zoom Meeting. You can test your Audio sources by using the Test Computer Audio link when joining. 

  • Choose Phone Call and dial the number provided to connect by phone.  Enter in the Meeting ID and be sure to input the Participant ID. 

  • Click on the Mic icon to mute and unmute your audio once connected.

Video Students, Faculty, Staff Access Video settings before or during a meeting by clicking on the Settings icon on your Zoom Desktop Client.
  • Use the Video tab to preview and change your camera source via the down arrow. 

  • Click on the Video icon to start and stop your video feed.

Invite Participants

Students, Faculty, Staff

During a meeting, click Invite to send meeting information to more participants by email, Zoom chat, phone, or room system.  COMING SOON
Manage Participants Students, Faculty, Staff When hosting a Zoom meeting, you have additional controls available to help manage your participants. 

Attendees can only view the other participants.

Share Screen & Whiteboard Students, Faculty, Staff Zoom allows for screen sharing on desktop, tablet and mobile devices running Zoom. All participants in your meeting can share their screen.

The whiteboard feature allows you to share a whiteboard that you and other participants (if allowed) can annotate on.

When screen sharing or using the whiteboard, you and your attendees can use the Annotation tools for drawing, pointing, highlighting, etc.

Chat Students, Faculty, Staff Click Chat to start an in-meeting message with participants in the meeting. Use the dropdown in the chat window to message everyone or a specific participant.  COMING SOON
Polling Students, Faculty, Staff Use the polling feature to create multiple choice polling questions for your meetings. 

You will be able to launch the poll during your meeting and gather responses from your attendees. You also have the ability to download a report of polling after the meeting.

Breakout Rooms Students, Faculty, Staff Zoom’s Breakout Room feature allows meeting hosts to automatically or manually split Zoom meetings into up to 50 separate Breakout Rooms. 

Each participant can use audio, video, and screen sharing in Breakout Rooms.
